Privacy Policy

Clearmymind (“we”, “the bot”) is a personal and family assistant that runs inside Telegram. It helps you keep lists, reminders, tasks, documents and your calendar by understanding messages you send in plain language. This policy explains what data we process and why.

1. Information we process

  • Telegram account basics — your Telegram user ID, first name, username and language setting, provided by Telegram when you use the bot.
  • Content you send — text messages, voice messages, photos and files you send to the bot, and the information derived from them (transcripts of voice messages, text recognized in photos/PDFs, and the lists, tasks, reminders, events and documents you create).
  • Google Calendar data — only if you connect it; see Section 3.
  • Household sharing — if you share a household with family members, items you create in shared lists/tasks/events are visible to those members.

We do not request special-category data. If you choose to store such information (e.g. a photo of a medical document), we process it only to provide the service.

2. How we use your data

We use your data solely to operate the assistant: to understand your requests, store and retrieve your items, send reminders and the daily digest, and let your family share items. To understand natural language, voice and images, we send the relevant content to the AI and speech providers in Section 4. We do not use your data for advertising and we do not sell it.

3. Google user data (Google Calendar)

If you connect Google Calendar, you grant Clearmymind access to your Google Calendar so the assistant can:

  • read your events — to show your schedule, the daily digest, and to match what you mention to existing events; and
  • create or update events — only when you explicitly ask.

To keep the connection active we store your OAuth token encrypted.

Clearmymind’s use and transfer of information received from Google APIs adhere to the Google API Services User Data Policy, including the Limited Use requirements. Specifically, we do not use Google Calendar data for advertising, we do not sell it, we do not transfer it to others except the infrastructure providers in Section 4 as needed to provide the feature, and we do not use it to train generalized AI/ML models.

You can disconnect at any time at Google Account → Security → Third-party access, or by deleting your data with /delete_my_data in the bot.

4. Service providers (sub-processors)

We share data only with the providers needed to run the service:

  • Google (Gemini API) and Anthropic (Claude API) — to understand your text requests;
  • Groq (Whisper) — to transcribe voice messages to text;
  • Supabase — encrypted database storage (EU region);
  • Railway — application hosting;
  • Telegram — the messaging platform through which you use the bot.

Each processes data only to provide its part of the service.

5. Storage, location and security

Your data is stored encrypted in the European Union. Access tokens and sensitive fields are encrypted at rest. We limit access to what is needed to operate the service.

6. Retention and your rights

We keep your data until you delete it. At any time you can:

  • /export_my_data — download a copy of your data as JSON;
  • /delete_my_data — permanently erase your data;
  • disconnect Google Calendar as described in Section 3.

7. Children

Clearmymind is intended for adults managing a household. If you add information about a child (e.g. a child’s appointment), you do so as the responsible adult; we process it only to provide the service.

8. Changes

We may update this policy; we will post the new version here with an updated date.
